DELEGATION – THE MOST IMPORTANT TOOL IN TIME MANAGEMENT
Delegation is a task mostly associated with workplaces. Outside of work, you might use delegation within sports clubs, associations, or other places where groups of people get together to organise things.
It is generally where someone in a more authoritative position hands over responsibility to others to help get things down efficiently and effectively. Delegation involves organising tasks in ways that relieve stress and manage time effectively.
Indeed, delegation is probably the single most important tool for saving time. However, delegation is not something that comes naturally to many managers or organisers. But it is something which can be learnt or acquired through experience.
WHAT IS DELEGATION?
Delegation may be defined, as in common dictionaries, as follows:
“The act of empowering to act for another”
“The act of giving a particular job, duty, etc. to someone else”
As you can see, delegation is the process of assigning responsibilities to staff or teammates. It is a very important practice in the effective running of workplaces. When done well, delegation improves the quality of work and commitment of employees to organisations. Employees can recognise that managers have trust in their abilities and consequently feel more motivated to work. When done well, delegation also improves the manager’s efficiency because they can focus on other tasks, and their team’s output is greater.
Failure to delegate impedes organisations. In organisations where managers lack the courage or conviction to delegate or they lack the ability to do it well, there is increased risk of failure.
Reasons Why Some Managers Fail to Delegate
Although most managers in organisations are attracted to the idea of delegation, they often fail to delegate. Some of the main reasons for this are:
- Managers may incorrectly view delegation as a task rather than see it as a process or a tool they can use to make workflow easier.
- Managers may hold concerns about the abilities of staff or teammates to do the job well.
- Managers may have long-standing work habits which are difficult to moderate – this is often associated with entrepreneurs whose business has been built on their specific style even though it can hinder growth.
- Managers may be too focussed on micromanagement – in smaller organisations this is more problematic since the effect of one manager or the boss too closely managing the work of staff has far broader implications for the business than it does in a large corporation. Micromanagement prevents employee growth and damages morale.
- Managers may be insecure – they feel threatened by giving up the accolades that go with task accomplishment if they hand over responsibility.
- Some managers prefer to do some of the more routine tasks themselves. This may be because they think it is necessary for them to put the most hours into a project, or because they don’t wish to put the time into training staff to do it.
- Some managers may be reluctant to delegate because they feel bad for giving unrewarding tasks to other staff members or because they do not wish to stress out staff who are already swamped with work.
It should be noted that delegation does not relieve a manager of the responsibility for work delegated to others, they still retain ultimate responsibility. Nor does it reduce a manager’s authority since they can cancel delegated tasks whenever they see fit. However, when tasks are delegated, it is rare to cancel them since the whole point of delegation is to make the flow of work smoother and more efficient.
Assessment is based on a combination of completing all assignments and sitting for a final short one and a half hour exam, in your own location.
If you don’t cope well with exams then you may elect to undertake a project instead. This is a popular option.
In addition, most modules have a Set Task at the end of each lesson placed before the assignment. This is an opportunity to undertake practical work to help you acquire knowledge and skills and practical experience. This ADL feature is an added bonus not found at most online schools. Set Tasks are not required for assessment.
Some courses also have optional Self-Tests which are available on our online learning platform. These are not available by correspondence or by USB, and do not form part of your overall grade.
- Choose Your Learning Method
You choose how you would like to receive your course material, i.e., Online, USB or Correspondence. The choice is yours. You may also work on online or offline. - Tutor Allocation
Every student is assigned their own dedicated tutor who is an expert in their subject area. They provide as much or as little individual contact as you require. You can contact your tutor whenever you need – your hours are not limited. - Feedback and Assignments
Tutor Feedback is an essential component in helping you understand the subject matter. Tutor feedback is given in the form of notes written on the assignment. We encourage you to contact your Tutor where help with clarification and understanding of course material may be required.
Your assignments are located at the end of each lesson. You submit them for marking whenever you are ready. There is no time limit. - Set Tasks and Self-Tests
Most modules have a Set Task at the end of each lesson before for the assignment. This is where you get the opportunity to undertake practical work to help you acquire knowledge, skills and practical experience. Many modules also have short Self-Tests. - Exams
Once all assignments have been completed you may then elect to sit for a one and half hour exam in your own location. If you prefer not to take the exam you do have the option to undertake a project instead.
Once the exam or project part of the course is completed, your Certificate is then processed. Please allow approximately 4 weeks for this. - Design Your Own Qualification
ADL offers students the flexibility to self-design their own qualification – bundling together a combination of 100-hour modules into a qualification higher than a certificate.
